Privacy policy.

We collect the minimum information needed to quote and build outdoor projects, we keep it secure, and we never sell it. Plain-English version below.

01 Who this applies to

This policy applies to information collected via alumaoutdoor.ca, our contact forms, phone/email/WhatsApp messages to our team, and on-site walkthroughs. Aluma Outdoor is operated by Aluma Contracting Ltd, a federally incorporated Ontario company (incorporated 2020).

02 What we collect

When you contact us we collect: your name, email, phone number, postal code or property address, and any project description you provide. If you upload photos, we keep those too. We do not collect government ID numbers, credit card details, or biometric data on this site.

03 Why we collect it

We use the information to respond to your inquiry, schedule a walkthrough, prepare a quote, manage the project if you sign off, send invoices, and contact you about warranty matters. We also use anonymized aggregate data (page views, form completion rates) to improve the site.

04 Who we share it with

We do not sell your information to anyone, ever. We share project-specific details with: (a) our sister Aluma brands when your project naturally touches one (e.g. railings on a deck — shared with railingsandglass.ca), and only the details needed; (b) trade partners we engage (engineering for retaining walls, permit consultants, designers) when their work is required for your project; (c) government agencies when we file a permit application. We require all partners to keep your information confidential.

05 How long we keep it

Leads that don't proceed to a quote: 12 months, then deleted. Quoted projects (signed or not): 7 years to align with tax and warranty record-keeping. Active project files: indefinitely while the warranty period runs, plus 2 years.

06 How we keep it secure

Customer data lives on our hosted server with HTTPS encryption in transit and access controls on storage. Our admin system uses role-based permissions; not every team member can see every customer file. We do not store passwords in plain text. If we discover a data breach affecting your information, we notify you and the appropriate regulator promptly.

07 Your rights

You can: (a) ask what information we hold about you, (b) correct anything that's wrong, (c) ask us to delete your information (subject to tax/warranty record requirements that may require us to retain some data), (d) withdraw consent to future contact at any time. Contact privacy@alumaoutdoor.ca to make any of these requests.

08 Cookies

We use basic cookies for session management (so the language toggle and admin login work) and a session-storage entry to remember if you've dismissed our exit-intent prompt. We do not use third-party advertising trackers. We do not run Google Analytics or similar on this site.

09 Changes to this policy

We update this policy when our practices change. Changes are posted here with an updated date at the top. We don't email everyone every time — but if a change materially affects how we handle your data (e.g. a new third-party we share with), we notify active customers directly.
